Call out lists are lists of users who will be alerted to on alarms being received. The order of the members within the list define the order in which an escalation process will occur. The order may be changed manually as and when required or it may be scheduled to occur automatically and cycle through the call roster. Call out lists may also be grouped together with the list itself having a priority.
Where the list is to be rotated automatically a schedule is created to perform the rotation either daily, weekly or monthly at a specified time.
List Search
Where a number of lists exist, the list of lists can be filtered by selecting the column name in the drop down list and entering a search criteria. The criteria are the call out list name, active state, rank, date modified or was modified by. Lists are also grouped into two groups, All Lists and Does Not Belong to Any Group. The search filter applies across both groups.
Export List
The Export list option in the bottom right hand corner enables you to export the list of lists in one of the following formats. CSV, PDF, EXCEL, XML, TSV or JSON.
Create List
The Create List button on the bottom left hand corner enables you to create a new list from available users. Before creating a new list ensure that all users you intend to add to the list have already been added as application users.
- Click The Create List button.
- Provide a list name relevant to the purpose of the list.
- By default the list will be active. If required change this to make the list unavailable for selection.
- Drag users from the list of available engineers to the engineers in rank order list, in the order you want them to appear in the list. Users may be re-ordered by dragging up or down the list to the appropriate position. They may also be removed from the list by dragging them back to the Available Engineers list.
- If the list is to be manually managed which is the default option then list may be saved at this stage.
- If the list is to be automatically rotated based on a schedule, select Active List Selection tab at the top of the Edit Call Out List window.
Active List Selection
Active list selection when set to automatic selection will automatically rotate the engineer call out list by taking the top ranked engineer and moving them to the bottom of the list, moving everyone up one step. The schedule defines when this should occur. Whenever the list is rotated a notification email will be sent to you as the owner of the list.
- Time - The actual time of day that the change should occur
- Recurrence pattern - On what days should this occur.
- Daily - Either every X number of days or every weekday.
- Weekly - Every X number of weeks and day on which it should occur.
- Monthly - On day X of every Y number of months.
- Range of Recurrence - Set a start date. The end will be either after X number of occurrences, or on a fixed date, or never.
Click save to save the changes.
Simulate Schedule
The simulate schedule button enable to you to test the rotation process. After simulating the schedule you should receive an email notification and also on opening the list again see that the users have been rotated.
Create Group
Call out lists may be grouped together so that they may be cycled through either manually or automatically. This means that not only the members of a callout list may be cycled through changing the callout order but in larger environments where the callout engineers work as a team, the teams may also be cycled through.
To create a callout list group, click the Create Group button. In the Create Call Out Group window, in the Create tab, provide a group name and drag callout lists from the available list to the group list. The order of the group list may be modified by dragging and dropping an item to the appropriate place in the list.
The active list may be performed manually by changing the rank order as described above, or in the Active List Selection tab a scheduled change may be defined. With Automatic Selection selected, the time the change should occur, the day it should occur and the period in which the automatic selection should occur.
Click Save to enable the Callout Group
